The type of personal information we collect
We collect the following information:
- Contact information (such as personal name, address, telephone numbers (land line and mobile if provided), email address) via the membership application
- Contact information (such as personal name, telephone numbers (land line or mobile if provided), email address) via the online Enquiry form
- The type of membership (individual or joint) and subscription amount involved
- Name and email address when making comments on our site
How we get the personal information and why we have it
All the personal information is provided to us directly by you. We do not receive any information indirectly from other sources.
We use the information that you have given us for the following reasons
- To manage membership details and subscriptions
- To communicate with you as a member of the Society regarding events and matters on which our members might like to be informed
- To manage the moderation of comments on our site
- To manage the requests, questions and comments raised via our Enquiry form
We do not share this information with any organisation or individual.
Under the UK General Data Protection Regulation (UK GDPR), The lawful basis under which we process the data is ‘legitimate interests‘ as the processing (use of your data) is necessary for the purposes of the legitimate interests pursued by the Society.
How we store your personal information
We hold the information electronically and securely together with supporting paper files.
Subscription details are managed by the Society Treasurer; membership details are managed by the Membership Secretary. Both serving as Data Processors according to guidance from the ICO. Their contact details are on our Contact Page.
We keep subscription information until an individual resigns, is deceased or no longer wishes to make use of our services. We do not retain their information other than to ensure that any outstanding financial matters have first been dealt with.
Electronic information is destroyed by deleting it from network drives and emptying trash or recycle bin regularly. Paper records are destroyed by shredding.
Comments that have been approved for placing on our site are kept permanently. Comments that are not approved are notified to the comment author for amendment or are otherwise deleted.
Personal information provided via our online Enquiry form is deleted along with the associated enquiry once it has been dealt with.
Your data protection rights
Under data protection law you have the right to ask us for copies of your personal information. If you wish to make a request or have concerns about the use of your personal information, please use the Enquiry form.
You can also complain to the ICO if you are unhappy with how we have used your data.
